Introduction
SignatureSense allows you to issue a document for signing without needing to set up the location of the signature requests each time. The “tags” can be embedded within your document and these tell SignatureSense where to request signatures.
Other configuration options (such as page initialling) can also be set using embedded tags.
An embedded tag is a simple piece of text inserted into your document that SignatureSense looks for when processing your document. It looks a bit like this:
{ss:SG_LL1}
or this
{ss:SD_Employee}
Hiding your tags
The font for the document’s tags should be coloured such that they are not visible on the final copy. For example if the document background is white then the text of the tags should also be white. This way SignatureSense can see the tags but the end signatories cannot.
We suggest adding the tags using a visible colour and then hiding them by changing the font colour to white for the final copy. Using MS Word’s styles works well for this.
Assigning the tag to a signatory
Signatory specific tags (like signing and dating) are allocated to a specific signatory by using a “signatory reference”. The reference can be anything without spaces. This reference is assigned to a signatory when setting up the document for sending.
For example:
{ss:SG_Landlord1}
“Landlord 1” will need to complete this one.
{ss:SG_Employee}
“Employee” will need to complete this one.
Here, “SG” means “signature” but this 2 letter code changes depending on what the signatory needs to do. See below for all types.
If the individual is required to sign in many locations then simply use the same code in each location.
Any tags that are included but not assigned to a Signatory will be ignored.
“Sign and date” tag
To request a signature and date at a specific location add the following text into your document:
{ss:FS_signatoryReference}
“FS” means full signature including and here the date is automatically added next to the signature. If you prefer to have a separate date box use other tags mentioned below.
“Initial” tag
To request initials at a location, use:
{ss:IN_signatoryReference}
Note how the characters “FS” (full signature) changes to “IN” (initials).
Tip: You don’t need to specify an initial tag if every page on the document is to be initialled. For this scenario, you can use the “InitialPages” document setting as outlined below, to stipulate that every page needs to be initialled.
“Signature with no date” tag
To request a just signature without the date automatically appended use, for example:
{ss:SG_signatoryReference}
“Signed date” tag
To request that the signatory adds a date (the signed date) use, for example:
{ss:SD_signatoryReference}
“Signatory name” tag
To request that the signatory insert their name (Print Name) onto a page use, for example:
{ss:SN_signatoryReference}
Document setup options
These can appear anywhere in the document and are used to configure certain options for how SignatureSense should process the document.
{ss:FC_AutoExec=True}
This will be executed automatically (True) or manually (False)
{ss:FC_InitialPages=True}
All signatories need to initial every page. Default to False if not specified.
{ss:FC_FormID=_}
For form based documents. Reference to a form template held on your SignatureSense account. Ask support for details.
Other tags
{ss:EX_Execute}
Add the document’s executed date
{ss:BK_200}
Blanking out a line of text on a document (200mm)
Form Based Tags
{ss:FF_formfieldID}
Show value of a field.{ss:FF_tickboxfieldID[TickedValue]}
Place a tick if the selected value is set
{ss:FF_formfieldID(x)}
Show text value with line wrap at Xmm.
Document upload requests
Documents can be requested from the signatory (for example proof of ID). This is activated by inserting a tag such as the below anywhere in the document.
{ss:UR_signatoryReference:Proof of ID}
“UR” stands for Upload Request. TT1 is the signatory reference (TT1, LL1 etc as above) and the message at the end (“Proof of ID”) can be any text up to 35 characters long as is displayed to the signatory.
Once a document is uploaded an email is sent to the sender with a link to download it.
Appending library documents
Your library document(s) can be automatically appended to your sent document. Simply add the following tag:
{ss:DA_lib-doc-name}
DA stands for Document Append. The library document name must match the name given in the tag. Do not provide the .pdf extension in the tag and make sure there are no spaces in the document name. So, for example, to append your How-To-Rent.pdf library document use: {ss:DA_How-To-Rent}.
Signing dates
Note that SignatureSense adds the date of the signature automatically as part of the signature and so no specific field is needed for this.
