Reapit’s Agency Cloud – SignatureSense Tags

Introduction

SignatureSense now has an app within Reapit’s AgencyCloud app market place.

Using our app means you can send documents for signing within AgencyCloud. You can also track the documents and have the signed copies automatically appear in the letters area of AgencyCloud.

SignatureSense Tags

SignatureSense “tags” should be added to your document template so that the system knows where your signatories need to sign.

A tag is a hidden piece of text that looks like this:

{ss:FS_LL1}

The tag needs to be in the same location in the document that a signature is required. For example above the “sign here” line.

The above example tell SignatureSense to requests a Full Signature (FS) (including the date) from Landlord 1 (LL1).

You can also request initials:

{ss:IN_LL1}

“IN” means “initials”, as opposed to “FS” for Full Signature.

Document signing parameters can also be set using tags. For example, “make everyone initial every page” or “set this document to be manually executed”.

Unused Tags

If a tag is included in the page but there is no Signatory assigned to that tag, it will simply be ignored. So, for example, if there are tags for up to 4 landlords to sign – but there are only 2 landlords for this document then SignatureSense will ignore the last 2.

Hiding your tags

The font for the document’s tags should be coloured such that they are not visible on the final copy.  For example if the document background is white then the text of the tags should also be white.  This way SignatureSense can see the tags but the end signatories cannot.

We suggest adding the tags using a visible colour and then hiding them by changing the font colour to white for the final copy.   Using MS Word’s styles works well for this.

Document Configuration

Note that these can be added anywhere in your document and only need to be added once.

These can appear anywhere in the document and are used to configure certain options for how SignatureSense should process the document.

{ss:FC_AutoExec=True} Executed automatically (True) or (False)

{ss:FC_InitialPages=True} Every page to be initialled (True) or (False).

{ss:FC_FormID=___} For form based documents. Reference to a form template held on your SignatureSense account. Ask support for details.

Other Tags

{ss:EX_Execute} Add the document’s executed date.
{ss:BK_200} Blanking out a line of text on a document (200mm)

Form based tags
{ss:FF_formfieldID} Insert value of a field.
{ss:FF_tickboxfieldID[TickedValue]} Place a tick if the selected value is set

{ss:FF_formfieldID(x)} Limit the width of the text to Xmm

Signing Dates

Note that SignatureSense adds the date of the signature automatically next to the signature, if the “FS” tag is used. So here no specific field is needed for the date. If you have a “Date ________” area on your document – this will not be required when using the “FS” tag.

Document Uploads

Documents can be requested from the signatory (for example proof of ID).  This is activated by inserting a tag such as the below anywhere in the document.

{ss:UR_TT1:Proof of ID}

“UR” stands for Upload Request.    TT1 is the signatory reference (TT1, LL1 etc as above) and the message at the end (“Proof of ID”) can be any text up to 35 characters long as is displayed to the signatory.

Once a document is uploaded an email is sent to the sender with a link to download it.

Appending Library Documents

Your library document(s) can be automatically appended to your sent document. Simply add the following tag:

{ss:DA_lib-doc-name}

DA stands for Document Append. The library document name must match the name given in the tag. Do not provide the .pdf extension in the tag and make sure there are no spaces in the document name. So for example to append your How-To-Rent.pdf library document use: {ss:DA_How-To-Rent}.
